We are seeking a highly organized and efficient Office Manager to join our team and help us maintain our high standards of service.

Job Summary
The Office Manager role is crucial to ensuring that our organization runs smoothly. Their primary responsibility is the daily reconciliation of customer billing and employee timesheets, ensuring that clients have been charged correctly and that employee hours align with this billing. For this reason, the ideal candidate will be someone who demonstrates strong mathematic and analytic skills.
This individual will also be responsible for various administrative tasks including inbound and outbound calls from customers & vendors, appointment scheduling, employee payroll, accounts receivable, invoicing and other general office duties.
> Experience with the following software or similar software products is required:

  • QuickBooks or other bookkeeping software.
  • Gusto or other payroll software.
  • Movegistics or other customer relationship management software.
  • Microsoft Office and/or Google Office applications.

Key Responsibilities
> Invoicing and Financial Management:

  • Review and reconcile daily customer billing sheets
  • Review and reconcile daily crew timesheets
  • Prepare and send invoices to clients for completed work.
  • Track payments and follow up on outstanding invoices.
  • Use QuickBooks to manage financial records and transactions.

> Customer Service:

  • Answer inbound calls from customers professionally and courteously.
  • Address customer inquiries and provide information about our services.
  • Schedule and confirm appointments for moving services.

> Administrative Tasks:

  • Maintain organized records and files.
  • Perform general office tasks such as data entry, filing, and document management.
  • Manage office supplies and ensure the office is well-stocked and organized.

> Payroll Management:

  • Process weekly employee payroll accurately and timely.
  • Maintain payroll records and resolve any discrepancies.

> Software Utilization:

  • Utilize QuickBooks for invoicing tasks.
  • Use Microsoft Office and/or Google Office applications for various administrative tasks.
  • Gusto payroll software
  • Ability to learn and utilize various proprietary software.

> Additional Responsibilities:

  • Social media management posting to Facebook and Instagram.

Requirements:

  • Proven experience as an Office Manager or similar administrative role.
  • Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook) and/or Google Office applications (Docs, Sheets, Gmail).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Experience in the moving industry is a plus, but not required.

CREW CHIEFS & MOVERS – FULL TIME

Join the the crew that was named ‘Best of the Seacoast’ the last 4 years!

Crew Chief pay is based on experience, but no less than $20/hr plus tips
Crew Member pay is based on experience, but no less than $17/hr plus tips

(*tips average $20+ per day)

Compensation & Benefits:

  • Hourly pay plus tips
  • 6 paid holidays after 6 months of employment
  • 1 week paid vacation & 3 sick days after 1 year of employment. (2 weeks paid vacation after 3 years of employment.)

  • DOT Medical Card paid by company (Drivers)

Requirements:

  • Ability to lift and carry furniture and other heavy objects as required by the job.
  • Ability to pass criminal background check.
  • Reliable transportation.
  • Available Monday through Friday and 2 Saturdays per month.
  • Positive attitude.
  • Willingness to work as member of a team
  • Driver candidates must have DOT medical card (CDL license not required)

Role & Responsibilities:

  • Perform as member of moving team, either as a Crew Chief/Driver, or as a Mover under direction of Crew Chief.
  • Lift and carry furniture and other home contents.
  • Participate in training to improve skill set (packing, carrying, truck loading).

Hours are Mon-Fri plus alternating Saturdays.  Hours vary based on job, but typically 7:30-4:30.

Experience in the moving industry is not a requirement.  We will train the right person who comes with a positive attitude and works hard.  Opportunities for advancement will be made available to employees who show a capability and desire to take on higher level of responsibility.

PACKER – PART TIME

Requirements: 

  • Ability to lift +/-30 lbs as required by the job

Role & Responsibilities:

  • Packer is responsible for the wrapping and boxing of contents on residential and commercial jobs.  Experience in the moving industry is ideal, but not a requirement.  We will train the right person. ​

Compensation & Benefits:

  • Hourly pay depends on experience, but no less than $20/hr. plus tips ($20-$30 on most jobs)
